Fleet Cards 101

What is a fleet card, or fuel card, and how does it work?

A fleet card provides an easy and secure way for your business to pay for fuel (and sometimes maintenance and other expenses) for your fleet vehicles. With a fleet card, you benefit from
 

  • discounts on fuel within a network of participating locations
  • elimination of paper receipts and manual reimbursements, since purchases are managed electronically
  • controls to help manage spending and keep transactions secure

What types of business fuel cards do you offer?

We offer fuel cards for both diesel and mixed fuel fleets, as well as for tax-exempt government and non-profit fleets. In addition, Fuelman offers a Fuelman Mastercard® with universal acceptance anywhere in the U.S. 

Why should I use a fuel card rather than a traditional credit card?

Fleet cards are built for fleet businesses of all sizes and types, and can be customized to the needs of the business. The owner or fleet manager can determine whether to assign cards to individual drivers, or to vehicles if multiple drivers use the same vehicle. In either case, assigned IDs enable transaction tracking by driver. In addition, some cards offer savings, spending controls, and detailed reporting.

Do you offer business gas cards for small businesses?

Yes. The Fuelman Mixed Fleet Card is a favorite of small businesses and local fleets. Three feature packages are offered, so you can choose the one with the benefits that best fit your business needs.

What are the benefits of using a fleet card?

Unlike traditional credit cards, fleet fuel cards are designed specifically with fleets in mind. The Fuelman fuel card is made to control costs, allowing your business to customize card controls to your needs, ensuring money is only spent on fuel for company vehicles. In addition, you can save with market-leading rebates on gas and diesel with every fill-up.1 Finally, you’ll get detailed reports and the ability to manage your account anywhere, anytime, using the mobile app.2

 

Do you have a rewards or cash-back program?

Yes. Fuelman offers rewards programs, as well as access to rebates at 40,000+ stations on the Fuelman Network.3

Can I use my fuel card for other purchases, like maintenance or tires?

Many of our cards offer an optional maintenance program that allows you to track, schedule, approve, and pay for maintenance in one place. You’ll also be eligible for discount pricing.

Are your cards universally accepted?

Fuelman fuel cards are accepted at 60,000+ locations nationwide.4 The Fuelman Mastercard® can be used anywhere in the U.S. that Mastercard® is accepted for fuel purchases.

Network

Are there specific fuel stations or networks where the card can be used?

Fuelman cards are accepted at 60,000+ stations nationwide.4 The Fuelman Network includes many popular truck stops and nationally branded locations like Loves, Speedway, 7-Eleven, Pilot, Exxon Mobile, and RaceTrac, among others. Fuelman customers can use our online Site Locator or tap on the map in the mobile app to find in-network stations and compare pricing.

What types of fuel can I purchase with my card?

Your Fuelman card can be used to purchase gasoline and diesel.

Do you have a mobile app or network locator to help drivers identify nearby network stations?

Yes, use the Fuelman Site Locator online or tap on the map in the mobile app to find stations nearby and identify stations that offer rebates.

Discounts/Rebates

Do fuel cards save you money?

Absolutely. Saving on fuel is one of the primary benefits of a Fuelman fuel card:
1. Save at the pump with access to rebates nationwide at 40,000+ stations on the Fuelman Network that offer discounts on fuel.3

2. Monitor and manage fleet operations and spending: robust reports provide data that helps optimize mileage and identify ways to improve routes and avoid wasting time and fuel.

3. Enroll in Fuelman Maintenance to track service and make sure fleet vehicles are serviced per manufacturer’s specs. You’ll also be eligible for discounts on some products and services.

4. Save administrative time and resources with digital transaction records, expense accounting, and tax reporting.

What kinds of discounts and rebates do you offer?

Are there discounts on other products, like maintenance?

Enroll in Fuelman Maintenance and you’ll be eligible for special pricing on services and discounts on products like tires. Fuelman Maintenance is included with Pro5 and Enterprise6 plans; customers on Basic7 plans can add Fuelman Maintenance for a small monthly fee.

How do I collect rebates?

Rebates, when applicable, are paid in the form of a statement credit. Invoices must be paid in full before statement credits will be issued.8

 

Basic7, Pro5, and Enterprise6 accounts earn points for eligible fuel gallons purchased with Fuelman Fuel Cards. Points can be redeemed through your online portal under the Rewards tab. Accounts enrolled in the DRIVEN for FUELMAN® Rewards Program can redeem points for travel, gift cards, and merchandise.

How do I redeem rewards?

To receive points, your account must be active, and statements must have been paid in full and on time. Once your invoices have been paid, you can redeem rewards through your online account management portal.

Spending Controls

What kind of purchase tracking features does a Fuelman card offer?

With Fuelman you eliminate the hassle and risk of paper receipts and documentation, since all transactions are tracked electronically. You’ll get detailed reporting that helps you track and monitor expenses, down to product-level data so you can see exactly what drivers purchase by fuel type. Plus, you’ll be ready for tax time.

How do I control driver spending?

The Fuelman card comes with custom fuel controls to help prevent misuse. You can create and manage vehicle profiles that specify what purchases are allowed and how much can be spent, as well as where and when the cards can be used.

How are transactions authorized?

Access is controlled at the pump. Drivers must use PINs with their fuel cards when making a purchase.

Do you offer fraud monitoring and fraud loss protection?

Yes, you’ll get real-time alerts for potentially fraudulent transactions and the ability to turn cards on and off with just a few clicks. The Pro5 and Enterprise6 feature packages offer enhanced fraud loss coverage, $10K per card, up to $25K per year.

What do I do if a card is lost or stolen?

Turn the card off in your account management portal or in the DRIVEN for FUELMAN® app, then call customer service at 1-800-877-0800 or alert your account manager.

Applying and Getting Started

Who is eligible for a fuel card?

An authorized representative of any business, government agency, or tax-exempt organization that uses vehicles in business operations is considered a fleet customer and can apply for a business fuel card. We offer cards to suit the needs of fleets of all sizes and types.

Is there a minimum fleet size required?

No. Typically fleet cards work best for fleets of 3 or more vehicles.

How do I apply for a business fuel card?

Simply select APPLY NOW and you’ll be directed to a page where you can complete your application online. If you need assistance or have questions, call 1-800-FUELMAN (383-5626).

How long does it take to process an application, receive my cards, and activate my account?

In some cases, you can receive an instant decision online once you complete the application. Otherwise, it takes approximately 7-10 business days for your application to be processed and for you to receive your cards

Can someone help me choose a card and set up my account?

Absolutely! We want to make sure you get the right card and start enjoying all of its benefits as soon as possible. Account Management

What types of account management tasks can I do online?

Manage your fleet anytime from anywhere in your online account management portal or with the DRIVEN for FUELMAN® mobile app2:
 

  • Order cards, set up driver or vehicle profiles, set spending parameters, activate and deactivate cards.
  • View your account and make payments.
  • View transactions in detail.
  • Create and view reports.
  • Access tax documentation data.
  • View rewards and/or rebate status; use rewards points.
  • Respond to fraud/misuse alerts.
  • Report lost or stolen cards.

How can I request a credit limit increase?

Visit your account management portal or contact your Fuelman Sales Advisor.

How do I add or remove drivers or vehicles?

You can edit driver or vehicle profiles and activate or deactivate cards in the account management portal or in the DRIVEN for FUELMAN® mobile app. Check out the onboarding video on the Get Started page for more details.

How do I update my contact or other profile information?

Billing and Payments

What are the billing terms?

One of the benefits of a business fuel card is the opportunity to secure the terms that are right for your business. At Fuelman we individually review each customer’s situation to determine appropriate spend limits and terms.

What is the credit line or spending limit? Are there maximum or minimum spending limits on each card?

Credit lines and spending parameters are individually established for each account.

How do I dispute a transaction?

To dispute any transaction on your Statement, you must notify us in writing within fifteen (15) days of the date of your statement. Notice should be submitted via the online account management system, or via written notice sent to:

Your written notice must include the following information: name; account number; date of the statement; dollar amount, and identification of the transaction(s) in question; and any possible explanation of the error. We will promptly investigate the matter and respond to you within sixty (60) days after receiving written notice.  See Fuelman Terms and Conditions for complete details.

Can I make payments online, and can I set up automatic payments?

You may pay online, by phone, or with a valid check mailed to the address on your statement. Fuelman also offers convenient autopay arrangements.

Are there any fees associated with fleet cards?

Corpay is committed to pricing transparency and providing all customers with a market-leading fleet card experience.  Depending on your product, for example, fees may include program fees, extended network pricing, and late payment fees.  Any fees for a product are found in the product Client Agreement/ Fuelman Terms and Conditions.

Reporting

What kinds of reports are available?

Fuelman saves you time and money with customizable reports and data visualizations that help you keep tabs on spending and make it easy to understand what fuel is costing your business. You’ll get summary reports, exception reports, and vehicle reports, plus real-time transaction data.

Can I export transaction data for accounting purposes?

Yes.  Reports are available for online viewing and for download. In some cases, you can print directly from the portal.2

Are the reports customizable?

Selected reports and customizations are available with optional services and package upgrades. Opt in to these to gain personalized control over what’s happening with every fuel transaction.

What transaction and spending details are available?

Enjoy real time posting, with 100% Level 3 data. Track purchases by driver or vehicle to simplify expense management and regulatory compliance. Product-level data allows you to see exactly what drivers purchase (by fuel type).

Can I access my account balance and transaction history in real time?

Yes, account and transaction data are available in real time from your desktop dashboard or in the mobile app2 so you can manage your fleet’s fuel spending anytime, from anywhere.
